Four ways Indian restaurants control money: the POS you already own, your accountant, a spreadsheet, or dedicated control software. Each is genuinely good at something. Here is what each actually covers — including where RestroMatrix is the wrong answer.
| Job to be done | POS software | Accountant | Spreadsheet | Control software |
|---|---|---|---|---|
| Bill the customer, print KOT | Yes — its core job | No | No | No |
| File GST and statutory books | No | Yes — its core job | No | No |
| What sold today | Yes | After the month | If typed in | Read from the POS |
| What the shelf actually holds | With add-ons | No | If counted and typed | Yes |
| Purchase rate drift per item | Sometimes | Rarely | Manual, tedious | Flagged |
| Cash out of the drawer, with proof | Partial | From bills | Honour system | Photo at entry |
| Actual vs theoretical food cost | No | No | If you build it | Yes |
| Wastage recorded separately | Usually not | No | If disciplined | Yes |
| Who recorded what | POS user | Not tracked | Handwriting | Named, per role |
| Attendance and payroll | Add-on | From your sheet | Manual | Included |
| When you learn about a problem | Sales only | Month-end | When you look | Same day |
Rows describe what each category of tool typically does. Individual products differ, add-ons change the answer, and any specific product's feature list should be checked on the day you buy.
Published list prices for one 30-staff outlet, checked August 2026 — the same figures shown on our pricing section:
| Route | What it includes | Per outlet / year |
|---|---|---|
| Add modules to your POS | Petpooja Growth ₹20,000 + three add-ons (payroll, purchase, tasks) ₹28,000 | ₹48,000 |
| Buy the pieces separately | Zoho People + Zoho Payroll for 30 staff — inventory still missing | ₹47,880+ |
| Keep your POS + RestroMatrix | Your POS ₹20,000, plus one app covering all six systems and every role | ₹39,999 |
Prices move. Check current list prices before deciding — and note that the cheapest row is not automatically the right one: if you do not need payroll, the comparison changes entirely.
Worth saying plainly, because a comparison that finds in its own favour on every row is not a comparison:
Before choosing any tool, measure the gap in your own restaurant — it decides whether this category is worth paying for at all.
Leakage calculator Read the leakage guide See how RestroMatrix worksNo. A POS bills customers and runs the counter. This handles what happens behind it, and takes the day's sales figure from your POS closing report.
For many restaurants, yes. The practical differences are how many separate logins and ledgers you end up with, whether every role is included or charged per user, and whether stock, cash, purchases and payroll reconcile against each other automatically.
An accountant produces accurate books, usually after the month closes. Catching a discrepancy on the day — while the delivery, the shift and the person are still identifiable — is a different job. Most restaurants need both.
Billing, reservations, CRM and statutory filing. If that is your problem, a different category of tool is the right answer.
